Privacy policy
This policy explains how Quantify Systems ("we", "us") handles your personal data when you use this website and contact us. We serve businesses in several countries and process personal data in line with these laws:
- Elsewhere: the data protection law of your country, to the extent it applies to us.
- Nigeria: the Nigeria Data Protection Act 2023 (NDPA), overseen by the Nigeria Data Protection Commission (NDPC).
- Kenya: the Kenya Data Protection Act 2019 (DPA), overseen by the Office of the Data Protection Commissioner (ODPC).
Wherever you are, the rights, retention periods and deletion process described on this page apply to you.
Who we are
Quantify Systems is the data controller for the personal data described here. Contact us about your data at hello@quantifysys.com.
What we collect
- Your full name.
- Your WhatsApp number.
- A record of your consent to be contacted, with the date and time you gave it.
- How you found us: campaign (UTM) tags in the link you followed and the referring website, if any.
- The messages you exchange with us on WhatsApp, including with our AI assistant.
Location and cookies
We use your IP address to detect your country so we can show local pricing, and to block spam and repeated submissions. We don't store it with your enquiry.
If you choose a market (Kenya, Nigeria or International) with the switch at the top of the page, we set one cookie, qs_market, to remember that choice. We don't use advertising cookies.
Why we use it
We use your data to contact you on WhatsApp about your enquiry: to learn about your business and needs, answer your questions and schedule a call. Our legal basis is your consent, under section 25 of the NDPA, section 30 of the Kenya DPA, and the equivalent provisions of other applicable laws. We don't sell your data, and we don't use it for unrelated marketing.
Our first messages may come from an AI assistant acting for Quantify Systems. It doesn't make decisions about you that have legal or similar effects. You can ask to speak to a person at any time.
Who we share it with
We share your data only with service providers who process it for us under contract:
- Hosting and database providers that store the enquiry.
- Meta (WhatsApp), to send and receive messages.
- The AI and automation providers that run our WhatsApp assistant.
- Our scheduling tool, if you book a call.
- Flutterwave, our payment processor, if you become a client.
Your data may be stored and processed outside your country, including outside Nigeria and Kenya. Where that happens, we use appropriate safeguards for cross-border transfers, as the NDPA, the Kenya DPA and other applicable laws require, such as contractual protections with each provider.
How long we keep it
If you don't become a client, we delete your enquiry and WhatsApp conversation 12 months after our last contact with you, or sooner if you ask. If you become a client, we keep the records we need for the length of our contract and as long as the law requires after it.
Your rights
Under the NDPA, the Kenya DPA and most other data protection laws you can:
- Be told how your data is used, which this policy does.
- Withdraw your consent at any time. This doesn't affect contact that already happened.
- Ask for a copy of the data we hold about you.
- Ask us to correct it.
- Ask us to delete it.
- Object to or ask us to restrict how we use it.
- Ask for your data in a portable format.
If you're unhappy with how we've handled your data, you can complain to the Nigeria Data Protection Commission (ndpc.gov.ng), Kenya's Office of the Data Protection Commissioner (odpc.go.ke), or the data protection authority in your country.
How to request deletion
Email hello@quantifysys.com with the WhatsApp number you gave us, or reply DELETE to any of our WhatsApp messages. We'll confirm and delete your data within 30 days. Reply STOP to stop receiving messages.
Security
Your data is encrypted in transit and stored in a database that only our server can access. Access within Quantify Systems is limited to the people who need it to respond to you. If a breach puts your data at risk, we'll notify the relevant regulator and, where required, you, within the time the applicable law sets.
Children
This website and our services are for businesses. We don't knowingly collect data from anyone under 18.
Changes
If we change this policy, we'll update the date at the top of this page.
